On behalf of the organising committee, we are delighted to invite your organisation to support the 23rd Annual Australasian Menopause Society (AMS) Congress.  The AMS is the peak body representing doctors and other health care professionals who have a special interest in women’s midlife health, the menopause and the promotion of healthy ageing.

The Organising Committee expects that around 300 delegates from a wide range of backgrounds will attend the AMS Congress. The Majority will be Australian and New Zealand General Practitioners who work in all aspects of women’s mid-life health. The Congress will also attract Gynaecologists and Obstetricians, Endocrinologists, Nurses, Allied Health Professionals, Psychologists, Physiotherapists, Cardiac Specialists and others.

Support of the Congress will provide your organisation with a number of key benefits.

Applications from companies wanting to promote non-TGA registered goods or devices will be required to provide Level 1 Evidence to the AMS Board for assessment as a potential sponsor.

All sponsorship packages have been designed to comply with the Medicines Australia Code of Conduct. Sponsorship funds used in social functions are allocated to food and beverage only. Any entertainment at a function is provided by the delegate registration fee.

Trade partners are invited to sponsor the Pre-Congress Workshop session. This runs prior to the Congress on Friday from 8.30am – 12.00pm

Availability confirmed only after Major sponsors have made their selections

Trade partners are invited to submit proposals for workshops run in conjunction with the Congress. These can be held during Lunch on Friday or Breakfast on Saturday or Sunday. Accepted sessions will be included in the online registration process and will be promoted via the website and email bulletins. When conflicting requests are received, priority will be given to applications from Diamond, then Platinum and Gold sponsors.

  • Use of one of the Congress rooms booked by the Organising Committee
  • Provision of the standard AV facilities being used by the Congress (screen, lectern, PA, projector)
  • Email announcements in bulletins to the delegates.
  • Complimentary session passes for presenters involved in the session (not applicable to delegates)
  • Listing of the activity on the web page along with pre-booking instructions.

All other costs, including any catering, are to be met by the applicant. The final time slots on offer and whether your proposal can proceed are at the determination of the Program Committee. The hosting organisation should formally submit to Conference Design, details of their proposal including:

a. the proposed/preferred date, time and location of the activity
b. the proposed name of the activity
c. the nature of the activity
d. planned speakers and their topics if applicable

There is an opportunity to sponsor the Recharge Station, situated adjacent to the seating area in the exhibition hall. This popular feature will allow delegates to recharge their devices (smart phones, tablets etc.) whilst in the hall. Prominent signage is available for logos and company branding.

This year delegates will have at their fingertips information about speakers, session times, access to abstracts, social functions, the exhibition floor plan and much more.

Delegates will be able to look up the list of Sponsors and Exhibitors who will be attending this year and where they are located in the exhibition hall. The Congress App is accessible on Android, iPhone, tablets or laptops.

The Congress App is fast taking the place of the Delegate handbook as the place delegates go to to find accurate and up-to-date information.

As a sponsor of the Congress App you gain high visibility from the time you confirm your support. Delegates that register automatically gain access to the App so the sponsor has visibility from date of application through to the Congress and beyond.

A coffee cart in the exhibition area with a barista that provides freshly made cappuccinos, latte’s, hot chocolates etc. to congress delegates is always a big drawcard. The benefits are as follows:

As an Exhibitor you will receive the following benefits:

  • A 3 m x 2 m exhibition booth – 3 Octanorm walls, fascia and 2 spotlights. Access to power is included.
  • 1 trade registration, including the Welcome Function is allocated per site for non-sponsors. These passes include day catering. Additional passes are available to purchase at $545 each, which includes the Welcome Function and day catering.
  • Discount (25%) on ads and satchel inserts
  • Logo in the Congress Program
  • A detailed Participation Manual to facilitate the logistics of setup and participation.

Advertising in the Delegate Handbook:

  • Full page colour – $1,650
  • Half page colour – $880

Promotion:

A single company can supply a branded pen OR pad to be put in every Delegate Satchel

  • Pad/Pen Sponsor – $1,100

A satchel insert will be placed in each delegate satchel. An insert is defined as a single item to maximum dimension 210 x 300 mm and can be a number of sheets if they are already collated and held together by a staple or folder.

  • Satchel Insert – $1,320

Companies will be given choice of booth position in order of their booking date and level of sponsorship.

Terms and Conditions for Sponsors and Exhibitors

Bookings & Payments

Acceptance of Terms and Conditions
Conference Design Pty Ltd, members of the Organising Committee and the Host Organisation are collectively referred to as The Organisers.

The Organisation listed on the sponsorship and exhibition application will be referred to as your Organisation or collectively as sponsors and exhibitors.

By returning a Sponsorship and Exhibition Booking Form you are accepting these terms and conditions.

Acceptance of Applications
Conference Design will issue a Tax Invoice once a Sponsorship or Exhibition application has been accepted.

Any advertising is not an offer capable of acceptance. The Organisers reserve the right to decline any sponsorship or exhibition application.

GST and AUD
All costs are inclusive of Goods and Services Tax (GST) and listed in Australian Dollars (AUD).

Payments
Sponsors/Advertisers – Invoices are payable on receipt of tax invoice to secure your requirements.
Exhibitors – 50% deposit due on receipt of tax invoice to secure a booth. Balance due no later than 30 June 2019.
Sponsorship and exhibition entitlements, including the allocation of exhibition space, do not commence until payment has been received.
Full payment must be received prior to commencement of the Event to ensure admittance to the event, unless by prior approval.

Cancellation of Sponsorship and Exhibition Bookings
Cancellation of sponsorship, symposiums & exhibition space will incur a minimum 50% cancellation fee of the total cost of the original invoice. If the item is not replaced by another entity the Organisers reserve the right to implement a 100% cancellation fee.
Booth cancellations must be in writing. Deposit less a cancellation fee will be refunded only if the booth can be re-sold.

Cancellation or Postponement of the Conference
The Organisers do not accept any liability for losses incurred if the conference is cancelled or postponed due to an event that renders proceedings with the meeting inadvisable, illegal, impracticable or impossible.

If the conference is cancelled or postponed refunds will not be issued but available funds will be credited towards the rescheduled conference.

An unforeseen event could include, but is not limited to, an infectious disease outbreak; industrial disruptions; service provider failures; governmental restrictions or regulations; war or apparent act of war; terrorism or apparent act of terrorism; disaster; civil disorder, disturbance, and/or riots; curtailment, suspension or restriction on transportation; or any other emergency.

Sub-Letting Sponsorship
Your Organisation must not on-sell sponsorship opportunities, sub-let exhibition tables or display products that have not been officially endorsed by their company without the prior approval of the Organiser.

General Information

Disclaimer and Changes
Every effort has been made to present all the information accurately, however no liability is accepted for any inaccuracy and the Organisers reserve the right to change any published information.

The Organisers reserve the right to amend, update or delete sponsorship and exhibition packages and the exhibition floor plan.

Exhibition Floor Plan
Will be available in late February 2019.

Correspondence
When booking please appoint a single point of contact within your Organisation. All bookings will be recorded under the one name and all correspondence will be sent to this person.

Allocation of Exhibition Spaces
Conference Design will allocate exhibition spaces after taking into account each organisation’s sponsorship, the date of application, preferences, proximity to competitors and any other matters deemed relevant.

Insurance
All sponsors and exhibitors must have adequate insurance for the period of the conference, including public and products liability cover and professional indemnity insurance. We may request a certificate of currency.

Indemnity
Your Organisation shall indemnify and hold harmless the Organisers for any loss, damage to property or injury to persons suffered as a result of your participation in the conference, except where the Organisers are found to be negligent.

Supply of Goods and Services
The supply of any goods, services, samples or advice is entirely at your Organisation’s own risk.

Program Book
Acknowledgement of Sponsors in the Program is dependent upon the date of the Sponsor’s booking, provision of the Sponsor’s logo and printing date of the books.

During the Conference

Bump in/out details to be confirmed.

Deliveries
Late and missing deliveries are the main concern for sponsors and exhibitors during the conference.

Please use the specified delivery labels and confirm with your courier the consignment has actually been made.

When you arrive on site have the courier name, the consignment numbers and the delivery date available.

Security
No valuable items should be left unattended at your exhibition at any time and especially not overnight. No responsibility is accepted for any loss or damage to equipment and display materials.

Representatives
Anyone from your Organisation attending the conference or guests you wish to invite to the conference must register with Conference Design before the conference. An official name badge will be required to access the meeting and exhibition area.

Custom Stands
All custom stands must fit within the purchased exhibition space. Custom stands must not exceed 3.0 metres high. If you have any questions please email us the floor plan and elevations of your proposed stand.

Delegate List
All sponsors and exhibitors will receive a delegate list after the Congress – please note that this will not include email addresses or other contact details unless the delegate has “opted in” for their details to be published.

Interactive Exhibitions
Whilst we encourage you to develop entertaining and interactive displays to attract delegates, please be mindful not to disturb other exhibitors or delegates.

Storage
There is limited storage space on site for exhibition equipment or packaging.

Signage at the Venue
The venue doesn’t allow any signage to be fixed to walls or other surfaces. Your signage should be free standing to allow for easy placement and should be contained with your exhibition space.

Dismantling Displays
Due to safety requirements you will not be able to dismantle your display before the published closing time.

Damage to the Venue
Your Organisation shall indemnify the Organisers from all liability for damage to the venue deemed to have been caused by your staff, contractors, agents or guests. The cost of repairs will be the sole responsibility of your Organisation.

Australasian Menopause Society

The Australasian Menopause Society (AMS) is the peak body representing doctors and other health care professionals who each have a special interest in women’s midlife health, the menopause and the promotion of healthy ageing.

 

The aim of the AMS is the advancement of knowledge about the menopause.  As well as holding an annual scientific congress in Australia and New Zealand, some AMS members are involved with the Asia-Pacific and International Menopause Societies, recognising that women living in Australia and New Zealand may have widely differing experiences of menopause.
